LAKEVILLE CHAMBER OF COMMERCE HOME, LANDSCAPE AND COMMUNITY EXPO TERMS AND CONDITIONS
The Lakeville Chamber of Commerce (LCC), hereafter “show producer,” and the sponsor/exhibitor (business or individual renting booth space) agree your show registration is governed by the following. I agree to defend and indemnify the Lakeville Chamber of Commerce, volunteers, sponsors, their agents and employees from all claims, damages, losses, and expenses of whatever nature, including attorney fees in any manner connected with, related to, or as a result of my participation in the show. In addition, it is understood that the Lakeville Chamber of Commerce reserves the right to limit participation by product or service and/or refuse any registration whose product or service they determine is not directly related to the show.
1. CONTRACT & PAYMENT: Booth/sponsorship is reserved only after submission of an online registration and full payment at LakevilleChamber.org. Sponsor packages available to Lakeville Chamber members only.
2. MARKETING: All marketing decisions are at the sole discretion of LCC. No refunds/discounts are given based on marketing choices or changes to marketing program and deliverables.
3. EXHIBITOR REFUNDS: 75% refund if exhibitor cancels 21+ days before show; no refund within 21 days. No refunds based on show attendance. If the show is postponed or moved and exhibitor cannot participate in new show date, or cancelled, 75% refund. Refunds default to credit for the next year unless cash is requested.
4. SPONSOR REFUNDS: 50% refund if sponsor cancels 30+ days before show; no refund within 30 days. No refunds based on show attendance. If the show is postponed or moved and sponsor cannot participate in new show date, or cancelled, 75% refund. Refunds default to credit for the next year unless cash is requested. Presenting sponsors receive no refund for cancellation but will receive a 50% credit if unable to participate in a postponed/moved/cancelled show.
5. LIABILITY: LCC, facility, and sponsors are not liable for natural disasters, strikes, theft, accidents, fire, injury, or unexplained property loss. Security will not be provided.
6. AISLES: Exhibitors must remain in their booth. Demonstrations, signage and promotions must occur inside booth.
7. SETUP: Exhibitors are responsible for damages to facility and may not attach items to facility walls, floors, or windows. Damages for which the Chamber is financially liable to the facility will be charged to exhibitor.
8. TEARDOWN: Booths must remain intact until close of event and be removed immediately afterward. Abandoned items may be discarded. Failure to teardown results in $200 removal fee plus $100/day storage. No overnight storage. LCC not liable for damages during teardown.
9. BOOTH STAFF: Booths must be staffed at all times, with personnel present before doors open. Identification badges encouraged. Booth staff may leave booth briefly to use the restroom or have lunch.
10. BOOTH SPACE: Booth is for the contracted exhibitor only. No subletting or additional businesses without approval; additional fees may apply. Shared booths not guaranteed equal benefits. Failure to occupy your booth space 15 minutes before show forfeits rights and payment.
11. BOOTH LOCATION: LCC will try to honor preferences but may relocate booths as needed. Distance between competitors is not guaranteed. No refunds or discounts based on booth location.
12. APPEARANCE & COMPLIANCE: Booths must comply with facility rules, fire codes, and all required permits/licenses. Non-compliant materials may be removed.
13. NEIGHBOR COURTESY: Exhibits must not block or interfere with others. Loud music, effects, or unfinished booth backs are prohibited without approval.
14. PROMOTION: Booth rental is for promoting exhibitor’s goods/services. Vendors may sell, display, sample, and run drawings, subject to restrictions.
15. PRODUCT SALES: Taxable sales require a Minnesota Tax ID. Exhibitors must provide completed Form ST-19.
16. ITEM RESTRICTIONS: No glitter or damaging materials. No pavers allowed on gym floors under any circumstances. Some displays require protective covering and pre-approval. Helium balloons are permitted but retrieval costs are exhibitor’s responsibility. No animals without approval. Exhibitors are financially responsible for damages.
17. AMENDMENTS: Exhibitors agree to abide by all show producer decisions regarding show administration.
18. COMPLETE AGREEMENT: These terms and conditions apply. No oral or outside agreements apply. This is the end of terms and conditions.
